Job Description

 

Qualifications:

  • Professing Christian in good standing
  • Familiarity with general office procedures either through formal training or equivalent experience
  • Previous work experience in an office environment preferred but not necessary
  • Computer literate with knowledge of Microsoft Office, Adobe Creative Suite, ChMS, Mailchimp, and navigating internet
  • Must possess good organization skills, good interpersonal skills and maintain a high degree of confidentiality
  • Willingness to adhere to written and verbal policies
  • Ability to lift 25 pounds


Reports to: Church Administrator


Responsibilities:

  • Check all phone messages and return calls as needed
  • Check email accounts daily and forward/reply as appropriate
  • Greet all incoming visitors and staff
  • Answer all telephone calls and direct to appropriate staff member
  • Ensure that all outgoing mail is mailed out and incoming mail is distributed appropriately
  • Record Sunday Service attendance in ChMS adding new attenders as needed
  • Provide visitor information to Pastor for follow-up
  • Produce an attendance report for each Sunday Service to include record of online viewers during live stream
  • Manage membership list in ChMS
  • Keep current record of deaths/births/baptisms/dedications – to include issuing memorial receipts as needed
  • Create certificates for new members, baby dedications, and baptisms
  • Add/Update member/attender/guest info in ChMS
  • Prepare and send mailings to shut-ins and others requesting (Sunday Service CD/DVD – bulletin, etc.)
  • Maintain contact information for local charities and services (Food Bank, Love INC, housing, job search, etc.)
  • Maintain and publish prayer list for staff and church prayer chain
  • Produce weekly church email and manage email list
  • Create and produce weekly bulletin – both print and digital
  • Prepare verbal announcements, kiosks, and pew rack cards for Sunday Service
  • Using Adobe Creative Suite, prepare sermon graphics, ministry opportunity slides, and graphics for digital road sign
  • Order all office supplies, paper, toner, etc. – schedule maintenance for main printer/copier
  • Produce interior door signs, note cards, return labels, pre-printed envelopes, and pastor/office business cards as needed
  • Update Welcome brochures
  • Prepare for and execute annual church elections
  • Collate reports for monthly Church Board Meetings and other meetings as needed
  • Maintain records and report necessary data for the District Annual Report
  • Maintain a neat and organized workspace
  • Other jobs as assigned
